Hotel Reservations

The ISPE room rate is US $278.88 (including taxes) single/double. We thank you for staying at the Gaylord Texan as this enables ISPE to meet contract requirements for the event.

How to Make a Hotel Reservation

Use a credit card and register completely online for the event. Once you have registered for the event online, you will receive a confirmation email. At this point call the hotel to make your reservation at 1-866-782-7897 or +1-817-778-1000.
Or fax your reservation request with credit card information to the Gaylord Texan attention Mirella at +1-817-778-2049.

We encourage you to make your hotel reservation immediately upon receiving your confirmation email. A confirmation email will be sent to you when your reservation is received by the hotel. Changes may be made by contacting the hotel directly.

ISPE sent all reservations that were made prior to 4 October to the hotel. There is a processing period for all reservations from ISPE into the hotel system so please do not contact the hotel directly regarding your reservation until 7 October 2011. A confirmation email will be sent by the hotel after 7 October 2011. All reservations are confirmed once you have received the email acknowledgement. The official confirmation number will be generated by the hotel after 7 October.

Nonrefundable Deposit

A deposit of one night (US$278.88 including taxes) is required to hold your room reservation and is nonrefundable after 2 October 2011. Credit cards will be charged one night as of 3 October. Please complete the credit card information in full in order to have a guaranteed reservation. ISPE has only one contracted hotel for the ISPE 2011 Annual Meeting. We urge you to make all room reservations now in order to secure a room at the ISPE rate.

Cancellation Policy for the Gaylord Texan

Guests cancelling their stay after 15.00, 72 hours prior to check in, will be charged their full stay. Please note that if you do not arrive on the first day of your room reservation, the Gaylord Texan will charge you a no-show fee equal to one night and may not have a hotel room available when you arrive. Please remember to contact the hotel if you are delayed.

Upgrade Requests

Please make your reservation through ISPE first. Then you can contact Mirella Melki - MMelki@GaylordHotels.com to ask about room upgrade options.

NOTICE: ISPE would like to warn all of our delegates planning on attending the ISPE Annual Meeting in Texas to NOT BOOK A HOTEL ROOM when contacted by other companies such as Convention Expo Travel or Convention Housing Services. We have been alerted by delegates that these companies are contacting exhibiting companies directly and advising that they officially represent the conference and the rooms are almost sold out. They have done this for other events and attendees have found they are not at the headquarters hotel or they do not have any reservation even though they gave the company credit card information. These companies are in no way affiliated with the ISPE Annual Meeting. They are NOT the official travel agent for the event. ISPE is not responsible for any reservations made with this company.
